What could go wrong with the Break List?
No system is perfect and the Break List is no different, so what could go wrong?
When doing the Break List with the pen and paper method, you had the whole current interval to prepare your next interval. Now, the automode will give you the next output one interval ahead. For example, at 06:01, the digital Break List has already been made for the 06:20-06:40 interval, if your interval is set at 20 minutes. On the other hand, the TV display shows your current interval 06:00-0620.
Staff member went to the wrong table.
You probably have experienced in the past, staff members going to the wrong table. If you don't spot it right away, you had to rectify your pen and paper Break List at the next round with a staff member coming back from break that you did not expect. In any way, a staff member was left on a position longer than planned and worked an extra interval. With the digital Break List, this is the same. Previous and current intervals would require an update to mirror your floor before releasing the next interval.
Reset the next interval if it has been already prepared.
Go to the Standard view.
Rectify the staff member who was supposed to go on the break but did not and stayed on a position.
Rectify the staff member who was supposed to stay on a position but was taken off by error.
Rectify the staff member who was supposed to go on a position but went to the wrong position.
By displaying the Break List on table iPads, supervisors must verify that they have the correct staff at the right time on their tables. They should call you immediately or redirect the staff member who misread his or her next position to the correct position.
No call no show.
This is another case when a staff member would be not taken off the table in due time and could cause issues with the Break List on the next round.
By allowing staff members to clock in, the Break List will inform you who is in the building? The shift starter would have a green background in their first working interval.
This will leave you time to verify if the staff member who did not clock in is a real no call no show, or simply forget to clock in. In the late case, create a clock to that staff member from the time card menu.
My computer is down or freezes.
If your computer is about to give up, log in to a spare one and continue your Break List. If it freezes, refresh your browser.
There is a power cut
By the time an alternative source of power kicks in, you can log in on an iPad and continue your Break List.
The TV display in the staff room shows an error message.
Call your IT department and ask them to reset the computer driving the TV.
The Break List feature is not accessible, not working or displays an error message.
It is a good practice to have a contingency plan in place. Prepare a pen and paper Break List before the start of the day, should the worse happens. Contact us at support@smartrota.com and explain what is happening with screenshots.
The Break List bugged and by the time you are back online, you are already in the next interval with everyone on "Select Option".

Here is what do you need to do.
Go to Standard view.
Click on previous button. You need to bring the green header to your first empty column.

Autofill
The system brings you back to the next interval to fill in (12:00) while having filled your empty interval (11:40)

Check that your staff are at the correct position on the floor matching your BL.
Autofill again.
