How to create a xHrs request?

At times, you will need to rely on xHrs to cover sickness or unforeseen business peak.




Go to Request.
Click on "Request xHrs".
Select the date you want to cover with xHrs
Select your working location if you have several of them.
Select the time from: 18:00.
Select the time to: 22:00.
Select a job position: JKT
Select a skill. Leave it blank if skill does not matter.
If more than a skill is selected then chose between "Any" (Logical function OR) or "All" (Logical function AND)
Input the number of staff needed. In this example 4 staff is needed.
Select a Pay code. Depending on your setting you can use xHrs as paid or Time Off In Lieu to increase Holiday balance instead.
Check the eligibility figure. You may create a request that none of your staff can do.
Click on "Send request"



Request xHrs

The request is sent to the targeted staff, who in return can accept or decline the request

Every Staff member responding to your request will be listed in the "New" column. Click on the hyperlink, run a system check to ensure that the Staff answer is compliant with your settings, then book or reject.

Request grid

The "View" hyperlink lists all targeted Staff member with their shift before and after the requested date.
The "Replies" hyperlink shows the action you have taken and list Staff member booked in or rejected. In any cases, Staff member receives a confirmation email.



You can reject a booked in Staff if the xHrs request is no longer necessary. Or, delete the entire request if you want to cancel all bookings.

Any actions will update Staff member shift accordingly and a confirmation email will be sent.
